How do I track expenses, run reports and export my data?

Record barn expenses with receipt photos, see the financial reports, and download your data as CSV or JSON.

Record an expense

  1. Go to More > Financial > Expenses and tap +.
  2. Choose a Category (for example Feed, Bedding, Veterinary or Farrier), then enter a description, the amount and the date.
  3. Add the Vendor and Receipt Number if you want to, and a Profit Center such as Boarding.
  4. Tap Attach Receipt Photo to keep the receipt on file.
  5. Tap Record Expense.

On the Expenses list you can filter by month and category and see the total spent.

Reports. Go to More > Reports. The available reports are:

  • Financial Summary: income against expenses, and expenses by category.
  • Revenue: revenue, outstanding and overdue amounts, and recent payments.
  • Horse Report and Stall Occupancy.
  • Payroll: hours, gross pay and tips per staff member, from time entries.
  • Profit Centers: revenue and expenses grouped by the profit center on each invoice and expense.
  • Sales Tax: tax collected and taxable sales, by rate and by month.
  • Year-End Statements: a statement for each client of everything invoiced and paid in the year. Tap Generate PDF to download or share it.
  • Training Analytics and Staff Productivity.

Most reports let you choose the period at the top, such as This Month or This Year, or your own start and end dates.

Export your data

  1. Go to More > Export Data.
  2. Choose Horses, Clients, Invoices, Health Records or QuickBooks (CSV). The QuickBooks export covers invoices, expenses or both, ready to import.
  3. Choose CSV or JSON, and set a date range where one is asked for.
  4. Tap the export button. The file downloads in your browser.
