Create an invoice by hand
- Open Invoices and tap +.
- Pick the client and set the Due Date.
- Tap Add Item for each line, and enter a description, Quantity and Unit Price.
- Add a Tax Rate (%) if you charge one, and a Profit Center if you use them (for example Boarding or Lessons).
- Tap Create Invoice. It's saved as a draft, so you can still edit or delete it.
Bill unbilled work. Charges from completed billable tasks, medications, rides and Barn Notes wait in Unbilled Work. To add a one-off charge, tap +. Tap Invoice now next to a client to put all of that client's charges on a new draft invoice. Tap Waive on any charge you won't bill; you can Restore it later.
Send the invoice. Open the invoice and tap Send to mark it as sent. Your client can then see it in their client portal. If you've set up online payments, tap Send with Stripe to email the client an invoice with a Pay button. Sending with Stripe also marks a draft as sent.
Monthly board. On the 1st of each month, StallWise creates a board invoice for each horse's owner. It's based on the Daily rate of the horse's stall, multiplied by the number of days in the month, and it includes that client's unbilled work. These invoices are created as sent and are due in 30 days.
Recurring charges. In Recurring Charges, add a client, a description, an amount and a frequency. Each time a charge comes due, StallWise invoices it automatically, starting from the day you create it.
Payment plans. On a sent invoice that has a balance, tap Set Up Payment Plan. Choose the number of installments, how often they're due and the start date. Tap Record on an installment when the client pays.
Late fees. If an invoice is still unpaid 30 days after its due date, StallWise adds a late fee of 5% of the balance once.
